Compare 10 AI agents and assistants for small business. Check costs, software requirements, and sample tasks for invoicing, support, and scheduling.

Start with the software your business already uses. For invoices, check QuickBooks Payments AI, Xero JAX, or Zoho Books CoCreate. For support, compare Fin, Zendesk AI Agents, Tidio Lyro, and Gorgias. For scheduling, look at Lindy, Reclaim, or Motion.

The useful choice depends on one job: what input will the tool receive, what should it produce, and what must you review? An invoice draft, a policy answer, and a calendar change need different checks.

This guide helps you choose two candidates, understand their full cost, and test them on the same work. You can start with one task and keep human approval for actions such as sending invoices or changing orders.

Which option fits your business?

  • You already have accounting software: Check its AI features first. Moving your books needs a stronger reason than one invoice feature.
  • You answer the same website questions: Start with a narrow Lyro trial. Compare Fin if your help content and current helpdesk suit its setup.
  • You have an established support team: Compare Zendesk within your existing Zendesk process. For Shopify order support, include Gorgias.
  • You spend time arranging meetings: Compare Lindy's email scheduling with your current booking method.
  • You need room to finish work: Compare Reclaim for calendar time and conflicts with Motion for tasks, estimates, and deadlines.

These are starting points based on documented features. A business with five support questions a week has a different buying decision from a shop with hundreds of order requests.

We checked provider sources on 5 October 2026. Accounting prices are for US plans. Dollar figures below are in USD. Lyro is shown in euros, the currency displayed on Tidio's pricing page during our check. Confirm local pricing before buying.

The table shows regular prices, without short opening discounts. Annual rates require an annual commitment. Taxes, payment processing, usage, and required software may add to the total.

How to use this shortlist

We selected ten products or features with documented work in invoicing, customer support, and scheduling. The numbers group them by task; they are not performance rankings. The list includes AI assistants and scheduling software as well as products called agents.

This is a source-based comparison. We have not run these products in a live business. Every trial below is a suggested exercise with fictional data and an expected result, not an observed product result.

Before trying AI, check ordinary automation. Zoho Books, for example, lists recurring invoices and payment reminders on its Free plan. A fixed reminder schedule may already solve your problem. AI is worth evaluating when the input changes, such as rough work notes or customer questions in different words. Zoho plan comparison

AI agents for invoicing

For all three options, prepare accurate customer records, items, payment terms, and tax settings. Check the invoice before it reaches a customer. A correct subtotal does not prove that the tax or due date is correct.

1. QuickBooks Payments AI: invoice work inside QuickBooks

Payments AI can fill invoice fields from documents, images, or text. It also suggests payment methods and reminder schedules with editable messages. Its guide lists US Essentials, Plus, Advanced, and Intuit Enterprise Suite, with permission to create or edit invoices required. QuickBooks feature guide

Choose it when: You already use an eligible QuickBooks plan and want help turning job details into invoices or reviewing reminder settings.

Check before paying: Essentials is $85/month at the regular US rate. If you already subscribe, calculate any upgrade cost rather than treating the whole subscription as a new AI expense. QuickBooks pricing

Trial: Upload a fictional work note: three hours of design at $80/hour for your test customer, due 20 October 2026. Expect a $240 subtotal and that exact due date. Leave any missing tax information for review. For reminders, inspect the proposed timing and message before approving them.

2. Xero JAX: invoices from a short request

JAX supports creating, editing, and sending invoices using plain language. It can retrieve stored item prices and calculate totals. Xero invoicing guide

Choose it when: You already use Xero and have saved customer and item records that a request can refer to.

Check before paying: Confirm JAX access for your account and country. US Early is $27/month and allows 20 invoices; its limit applies to approving and sending invoices. Growing is $59/month and removes that particular limit. A business with 30 invoices a month should plan above Early. Xero plans and limits

Trial: Create a draft for a test customer using two saved items at known prices. Then ask for an item name that does not exist. The useful result is a request for clarification, with no invented item or price. Confirm the draft before sending.

3. Zoho Books CoCreate: review the form as it fills

CoCreate creates sales transactions, including invoices and quotes, from a short request. It fills the form on screen. You can take control, change a field, and resume. Setup includes enabling the relevant AI feature and choosing its provider and model. Zoho Books AI guide

Choose it when: You use Zoho Books and want to inspect or correct the form during creation.

Check before paying: The US comparison lists CoCreate on Premium, Elite, and Ultimate. Premium is $70/month, or $60/month billed annually. A lower plan may still cover ordinary invoicing and reminders. Confirm any separate AI provider charges during setup. Zoho feature comparison

Trial: Use a sample item priced at $25. Request ten units, then take control and change the quantity to eight. Expect a $200 subtotal, with payment terms still matching your request. Review before saving.

AI agents for customer support

Start with one topic and an approved policy. Decide who receives a handoff and what context they need. Answering a delivery question is a smaller first task than issuing a refund or changing an order.

4. Intercom Fin: support answers with an existing helpdesk

Fin uses supplied support knowledge to answer customers and hand work to your team. Check its fit with your current helpdesk before considering a move. Fin feature FAQs · Fin for other platforms

Choose it when: You have accurate help content and a supported helpdesk where unresolved requests can reach your team.

Check before paying: Fin starts at $0.99 per outcome. Intercom helpdesk seats add cost; Fin on a supported external helpdesk has a minimum monthly commitment. A billable outcome can include a completed workflow with a handoff, or a conversation where the customer stops asking for help. Do not treat all billed outcomes as independently verified solutions. Trial: Supply a fictional cancellation policy: standard orders may be cancelled before dispatch; custom orders need staff review. Ask to cancel a custom order. Expect the exception and correct handoff, with no claim that cancellation is already complete.

5. Zendesk AI Agents: extend an existing support process

Zendesk AI Agents use knowledge and configured processes to handle requests. More advanced actions depend on the setup and product you buy. Zendesk AI Agents

Choose it when: Your team already works in Zendesk and you can name the requests to cover. For a very small inbox, compare the full cost with a focused FAQ tool.

Check before paying: Suite Team is $55 per human agent/month billed yearly. Three seats are $165/month, or $1,980/year, before extra usage and taxes. AI resolution allowances depend on the plan and seat count; additional resolutions cost extra. Ask which AI features your proposed plan includes. Zendesk pricing

Trial: Ask a fictional billing question that needs an account detail absent from the help center. Expect a request for that information or a handoff. Check that the summary tells your team what is missing, rather than offering an unsupported answer.

6. Tidio Lyro: a narrow trial for website questions

Lyro draws answers from supplied support sources. It can ask follow-up questions and hand a conversation to a person when needed. Lyro feature guide

Choose it when: Your first task is a small group of repeat questions, such as delivery regions or opening hours, and someone can handle exceptions.

Check before paying: The page showed €39/month for 50 Lyro conversations on monthly billing during our check. Its free 50 conversations are a one-time allowance. A Lyro conversation counts after at least one AI reply; it does not require a successful resolution. Confirm your local currency, paid quota, and any separate customer-service plan. Lyro pricing

Trial: Give it a sample delivery policy covering two countries. Ask the same covered question three ways, then ask about a third country. Expect consistent answers for covered locations and an honest handoff for the missing one.

7. Gorgias AI Agent: Shopify order questions and actions

Gorgias combines conversations with store knowledge and order data. Configured, opt-in actions can change orders or handle returns under your chosen conditions. Gorgias AI Agent guide

Choose it when: Your support work often needs Shopify order information. The chat setup guide requires a connected Shopify store and an active AI Agent subscription. It excludes BigCommerce, Magento, and WooCommerce. Store requirements

Check before paying: A ticket entirely resolved by AI Agent can attract both a helpdesk ticket fee and an automation fee. Ask for a quote using your expected ticket volume, AI-only resolutions, and human handoffs. Gorgias billing rules

Trial: Set a fictional 30-day return window and require staff review outside it. Use a test order from 45 days ago. Expect a handoff with the order details, without a return being approved. Begin with order-changing actions disabled.

AI agents and assistants for scheduling

Decide which appointments must stay fixed, when you work, and how much time each task needs. A booking exchange and a daily work plan are different jobs.

8. Lindy: meetings that begin in email

Lindy's meeting tools can share calendar availability and arrange meetings through email. Preparation and follow-up are also part of its meeting offering. Lindy meeting tools

Choose it when: The work is reading a meeting request, finding a suitable slot, and handling the exchange.

Check before paying: The Team plan starts at $29.99 per active user/month with 3,000 credits per seat, pooled across the team. Lindy says work with an outside effect waits for approval, and credit-using actions pause when credits run out. Trial: Arrange a sample 30-minute meeting across two named time zones with a colleague who agrees to test. Change their availability before booking. Expect an updated slot, the correct guest list, and the required approval before sending.

9. Reclaim AI Assistant: make space around fixed commitments

Reclaim connects to Google Calendar or Outlook. Its assistant can suggest events, find meeting times, and help resolve conflicts, with proposed assistant changes available for review. Reclaim assistant features

Choose it when: You need protected work time or help with conflicts in a crowded calendar.

Check before paying: Lite is free. Starter is $12/seat/month or $10/seat/month billed annually. Confirm plan limits and assistant access in your account. Trial: Keep a client meeting fixed and request two hours for a proposal within your working hours. Expect the work block to respect the meeting. If two hours do not fit, the useful result explains the conflict instead of moving the client appointment without permission.

10. Motion: fit tasks and deadlines into your day

Motion schedules tasks using priorities, deadlines, and available time, then adjusts the plan as the day changes. It needs realistic task estimates to make a useful plan. Motion task planning

Choose it when: Your problem is unfinished work between meetings, and you are willing to maintain task durations and deadlines.

Check before paying: Individual Pro AI is $49/month or $29/month billed annually: $348/year. The Teams option has separate per-seat prices. Check the correct audience and billing setting before committing. Motion pricing

Trial: Add three sample tasks of 30, 60, and 90 minutes with different deadlines. Insert an urgent meeting. Inspect the revised plan: fixed commitments should remain fixed, and each task still needs its full duration. If the work cannot fit, investigate the conflict rather than assuming the deadline is achievable.

Compare the full bill for the same workload

Seats, conversations, outcomes, tickets, and credits measure different things. Ask providers to price the same workload: monthly requests, users, channels, and required actions.

For example, 100 Fin outcomes at $0.99 are $99 in outcome charges. That does not include applicable helpdesk or channel costs, or prove that 100 issues were solved. Lyro uses its own conversation count after an AI reply. Fin billing · Lyro billing

Use this budget structure:

Added monthly cost = change in fixed software and seat charges
                   + expected usage and other required fees
                   + setup cost allocated over a stated period
                   + ongoing maintenance cost

Count each subscription once. Keep software you already pay for separate from the extra cost of this decision. Show setup as a first-month cost, or spread it over a stated period. Include the time spent fixing records, writing policies, and checking failed runs.

A lower entry price can still be poor value when it requires moving your books or retraining your support team.

Run a trial with answers you can check

Choose two candidates for the same job. Prepare five cases: three normal tasks, one with missing information, and one exception. Write the expected result before running them. Use a provider preview, a suitable test setup, or drafts where available.

Record whether the result passed, which corrections were needed, review time, and billable usage. Check the action separately from the words: “draft ready” does not mean “invoice sent,” and “return needs review” should not come with an approved return.

Stop and adjust the setup after an invented price, policy, or commitment. Repeat failed cases and try new ones. Passing five examples helps you choose a pilot; it does not prove reliability across future work.

Then measure the total work left. In a fictional first month, 100 tasks at ten minutes each take 1,000 minutes manually. With 120 minutes of setup, four minutes of review and corrections per task, and no other maintenance work, the new total is 520 minutes. That leaves 480 minutes, or eight hours. Later months still need maintenance and checks. Use measured figures from your own trial; time freed is not automatically cash saved.

Choose the tool that meets your checks and reduces the work after review. Expand one task at a time.

Write a short task brief: the job, current software, monthly volume, budget, required output, and the person who approves it.

Which AI agent should a small business try first?

Start with a repeated task in software you already use. An invoice draft or a narrow policy-answer trial is easier to assess than several connected jobs. Choose a tool only after naming the input, expected result, and reviewer.

Can I use an AI agent for free?

Some options offer free plans or limited trials. Check which feature is included and whether usage renews. Reclaim's Lite plan is free, while Tidio's first 50 Lyro conversations are a one-time allowance. See the linked plan pages for current limits.

Should I change accounting or support software for an AI feature?

Include migration, training, and lost integrations in the decision. First compare the AI feature or ordinary automation in your current system. A new feature needs enough value to justify the whole change.

How do I compare usage prices?

Ask for the same monthly workload to be priced. Include required subscriptions, seats, minimums, usage, and other fees. Check what counts as a billable event; different providers use different definitions.

When should I allow automatic actions?

After you have tested the normal cases, missing details, and exceptions, and checked the actual actions taken. Keep approval where a mistake would be costly. Start with a narrow task, a clear owner for failures, and a way to pause it.
