OVERVIEW

About Shortwave

Shortwave is an email app that runs on top of Gmail and Google Workspace. Its AI groups newsletters and updates into bundles, applies filters you write in plain English, and turns an email into a to-do in one click. It can draft replies in your writing style, summarise long threads and search your mail from a plain description. The assistant can also check your Google Calendar, create events and write scheduling emails.

The practical use is a faster daily inbox pass: clear the low-value mail, see what needs you and start from a drafted reply. Shortwave suggests replies, but you decide what to send. When you ask, the assistant can create calendar events and send invites, so check those before they go out. It needs a Gmail or Google Workspace account; Microsoft 365 and Exchange mailboxes are not supported. AI use comes from a daily quota that grows with the plan, and Shortwave says customer data is not used to train third-party models.

What the workflow does

  • Bundles and inbox sweep: Groups promotions, newsletters and updates so you can clear them together and keep important mail in view.
  • Plain-English AI filters: Labels, stars or archives mail using rules you describe in words; Business includes 3 AI filters.
  • Reply drafts in your style: Learns from your sent mail to draft and improve replies, with one-click inline suggestions.
  • Email to to-do: Turns an email into a to-do you can group, rename and prioritise.
  • AI assistant with integrations: Searches mail, summarises threads, manages Google Calendar and connects to HubSpot, Notion, Slack, Asana, Linear and Zapier.

  • Optional connections such as Google Calendar, HubSpot or Slack.

You get

  • A shorter inbox each morning, with low-value mail grouped and cleared.
  • Draft replies ready to edit instead of a blank page.
  • Emails that need action tracked as to-dos.
  1. 1

Connect your Gmail account during the 14-day trial and set up bundles for newsletters and updates.

  2. 2

Write two or three AI filters and check over a week that they label and archive the right mail.

IS IT A GOOD FIT?

Who it’s for

A good fit for

  • People on Gmail or Google Workspace who handle a high volume of email.
  • Professionals who want AI drafts and triage without leaving their Gmail account.

Not the best fit for

  • Microsoft 365, Exchange or Outlook users, whose mailboxes are not supported directly.
  • Anyone who wants replies sent automatically without reading them.

Strengths

  • Clean, responsive design.
  • Bundles and threading make high email volume easier to manage.
  • A free tier that reviewers describe as strong.

Limitations

  • The visible App Store reviews are from 2024 and predate the current AI plans.
  • Reviewers ask for better search, such as finding all mail with one contact.
  • The free version has limits that push heavy users to paid plans.
