Deadline register with source references, Missing stages, date conflicts and changes to review, Calendar file for confirmed additions, plus an import record, Specific edits for existing events and questions for the instructor
Illustrative example · fictional input
- Example input
- Illustrative course: Thursday initial post, Sunday replies already in Canvas, a changed imported proposal date and a conflicting essay announcement.
- Example result
- Illustrative result, not a recorded run: one missing discussion stage, one proposal event to edit, one essay conflict, and a source-linked register. After the student confirms the missing stage, prepare a one-event calendar file. The existing events are not exported again.
Check missing sources and confirm dates against the course platform. Resolve conflicts and approve exact new stages before export. Import once, check displayed times, and report which rows succeeded. Edit existing events after a reviewed change and save the updated state.
What you need
Start with one Canvas course and Google Calendar. Upload whole course files instead of typing out dates. The assistant builds a source-linked register, flags hidden stages and conflicting dates, and prepares a calendar import file after your review. Keep the accepted register and import history for the next check. File collection, calendar import and later edits remain with you; this setup does not monitor your school account.
- ChatGPT Work with file upload, file analysis and downloadable file creation available in your account. Check access and usage allowance first. No API key, school connector or extra planner subscription is required.
- Readable PDF or text copies of the course sources you may share. Remove private classmate details and grades. For scans or screenshots, check the extracted dates against the image. Keep your own copies of every source.
- Your course and section, a review period and a named course time zone, such as Europe/Warsaw. A current calendar snapshot helps identify missing events; without it, the assistant can extract dates but cannot establish what is missing.
- Google Calendar on a computer for the optional file import. Use a separate calendar named Course deadline additions. If your Canvas feed already covers the course correctly, use that native subscription and a short manual review first.
Set it up
- Open ChatGPT, sign in and select Work. Start a chat for one course. Copy the setup prompt below and add your course, section, review period and course time zone. You can attach the files in the same message; no separate setup conversation is needed.
- From Canvas on a computer, save the syllabus, complete assignment instructions and relevant dated announcements as readable PDF or text. In Canvas Calendar, open Calendar Feed and download a snapshot through its link. Upload the files to the chat. If an ICS attachment is not accepted, provide its text in a TXT file. Do not paste your school password, API token or private calendar feed URL.
- Check the source list before trusting the comparison. The assistant should identify unreadable pages, missing announcement history and homework sites outside the supplied files. It assigns source IDs itself. Ask it to review a smaller period if it cannot read the full batch.
- Review the missing stages, conflicts and changes against the source references. Resolve date conflicts with the instructor. Confirm the exact rows you want in the calendar file; do not approve all rows if some dates or times are still unclear.
- Download deadline-register.csv and deadline-state.json. After confirming new stages, download the calendar-additions ICS file and its batch record. The assistant must show the event count, titles, dates and time zones before you import. A file being created does not mean your calendar was updated.
- In Google Calendar on a computer, create or choose Course deadline additions. Open Settings, then Import & export. Select the reviewed ICS file and that calendar, then import once. Check the event count and displayed dates and times. Check notification settings yourself. Tell the assistant which batch and rows were actually imported, then save the updated state file.
- For the next review, upload the saved register and state, a fresh calendar snapshot and new or changed course files. The assistant should return only relevant changes first. Existing imported events need a specific manual edit, not another import. If an import partly failed or its result is unknown, inspect the destination before retrying.
- Keep the latest register, state and source copies together. No background check is created. Check Canvas for new work and announcements between reviews. If you start a new chat, supply the setup prompt and latest saved state again.

Review checks, limits and sources
Not tested by Juicy Agents. The examples are fictional, not recorded agent results.
Check the result
- D1 has separate initial-post and reply stages. Only the initial post is missing from the supplied calendar; the existing native reply event is not duplicated.
- The 27 October access closing does not replace either D1 due date. E1 keeps the conflicting dates and missing announcement scope/time unresolved.
- P1 proposes 28 October with the old 27 October date retained. Because its event was already imported, it gets a manual edit instruction, not a new creation.
- R1 stays date-only; no 23:59 is invented. The unreadable scan and missing TopHat source remain visible coverage gaps.
- The first review creates no ICS file. Only a later explicit confirmation of D1 initial post permits its addition; its 22 October 18:00 Europe/Warsaw time converts to 16:00 UTC.
- If both D1 stages are already in a revised calendar snapshot, neither is exported. If a changed deadline falls after the clock change, use the offset for that date, not the earlier date.
- A repeat run retains stage keys and accepted decisions. Pending, imported or unknown-outcome rows are not exported again; an uncertain calendar match requests review.
- Export count and timestamps match the approved rows. A downloadable file or passing local format check is not a successful Google Calendar import.
- No connection, message, submission, scheduled check or calendar action is claimed. File errors and missing state stop only the affected steps.
Known limits
- Not tested by Juicy Agents in ChatGPT Work or Google Calendar. The fictional checks are authored expectations, not measured accuracy or saved time.
- You still collect course files, approve dates, import the file and edit existing events. This setup has no school connection or automatic monitoring.
- Only supplied sources are compared. Unpublished tasks, unreadable pages, external homework and later announcements can change the result.
- Canvas calendar feeds exclude To Do items, have date/item limits and can update slowly in Google Calendar. A missing feed event is not proof of a missing or cancelled assignment.
- Calendar import is a one-time copy. This recipe uses saved state and a review process to reduce duplicate additions; it cannot guarantee that a calendar application will deduplicate a repeated import.
- It does not complete assessed work, determine grading rules or grant extensions. A simple native feed and weekly review may be enough for a small stable course.
If something goes wrong
- A PDF table is unreadable: provide a clearer copy or paste only the affected section. Keep that source marked incomplete until it is read.
- An ICS upload is rejected: provide the calendar contents as TXT. If dates or time zones cannot be parsed reliably, stop additions and use the review list.
- Files are not downloadable: check that Work file creation is available. The assistant must report that no file was created; do not rename an empty file and import it.
- A batch may already have been imported: inspect Course deadline additions and reconcile the exact rows before retrying. A repeated UID is not an update guarantee.
- A source changes an imported date: check the applicable student and stage, approve the change, edit the existing event, and record the checked edit in the state file.
- The state file is lost: use your current calendar export and source files to rebuild and review matches. Do not create additions until prior imports are reconciled.
- A displayed time is wrong: check the source zone, daylight-saving date and destination calendar zone before using it. Never change the official source date just to match a display.
- An account limit or missing Work access stops the task: save your sources and use Canvas plus a manual checklist. Do not assume a paid upgrade is required.
